Personal Information
When you register on CoverTheGaps.com, we collect personal information such as your name, email address, and other information you provide voluntarily.
Profile and Public Information
Certain information you provide, including but not limited to your name, display name, username, avatar, profile description, learning progress, or activity history, may be visible to other users of the platform and may be publicly accessible on the internet. This includes display in user directories, class rosters and teacher dashboards. The Community is different: what you share there is visible only to its members, as described in Section 5.
Automated Information
We automatically receive and record information from your device and browser, including your IP address, software and hardware attributes, and the requested page.
Cookies
We use cookies and similar technologies to enhance your user experience, analyze traffic, and improve the quality of our services. You may control cookies in your browser, but disabling them may limit your use of certain features.
The information we collect may be used to:
Some features — the pronunciation check, reading aloud, shadowing, dictation, and the speaking exercises — record your voice while you use them. You start each recording yourself, and your browser asks for microphone permission before anything is captured.
What we do with a recording
We analyse it to work out which sounds you produced, so that we can show you where they differed from the sounds you were aiming for. For some exercises we also convert your speech to text so that an answer can be checked.
How long we keep it
Recordings are processed once and then deleted. We do not store your voice, and we do not use it to train any model. Where an exercise needs your speech turned into text, we keep the text — your answer — and not the audio.
Who processes it
Pronunciation feedback is produced by our own speech models, running on our own servers. Speech-to-text for exercises is performed by OpenAI, acting as our processor; the recording is sent for transcription and is not retained by us afterwards. This may involve a transfer of your data outside your own country, including to the United States.
What we never do
We do not use your voice to identify you, we do not build a voiceprint, and we do not sell or share recordings with advertisers.
Your choices
Refusing microphone permission leaves every other part of the platform working; only the speaking features become unavailable. Because recordings are not kept, there is no stored audio to ask us to delete — but you may ask us anything about this section, or exercise the rights described in Section 8, using the contact details in Section 10.
The Community (coverthegaps.com/community) is the part of the platform where adult members practise English together. Its Community Guidelines include a full privacy notice for it; this section summarises that notice, and where the two differ on a Community matter, the notice applies.
Who can see what
The Community is visible only to its members and is not indexed by search engines; the public display described in Sections 1 and 3 does not apply to it. Members see your nickname, photo, English level, native language, interests and what you post there — never your name, e-mail address, username or date of birth. Comments you write on our Articles are public, like the Articles. An image in a post is stored at a hard-to-guess address that anyone with the exact link can open.
What we keep
Your community profile; your posts and their images, comments, reactions and corrections; the members and clubs you follow, practice invitations and the members you block; reports you send and reports about you, each with a copy of what was reported; your date of birth, for the age check; and a record of which version of the Community Guidelines you accepted, when, and from which IP address.
Why, and on what legal basis
To run the Community you joined (Article 6(1)(b) GDPR), and to keep it safe — the 18+ age check, moderation, reports and appeals — which is our legitimate interest and our members’ (Article 6(1)(f) GDPR). We do not use community content to train AI models.
Automated moderation and AI
Texts and images in the Community are checked by automated moderation, and AI translates posts, checks drafts and suggests corrections when members use those features. For this we use OpenRouter (the gpt-oss-120b model) and OpenAI (its moderation service) as our processors; they may process data outside your country, including in the United States. Automated moderation can hide an individual item but never restricts an account: only people on our team decide that, and every decision can be appealed through our support page.
How long we keep it
Until you delete it, delete your community data, or delete your account. Content that we removed stays hidden from other members for up to 12 months after a moderator reviewed it, so that you can appeal, and is then deleted together with the reports about it. The copies of content attached to other reports are deleted 12 months after the report is closed. When you delete your community data we keep only what safety requires — reports about you and reports you sent, blocks, and any restriction on your account. Corrections you gave that other members accepted stay with them, without your name, and messages in a practice chat stay in that conversation for the other member.
Your choices
In Community settings you can edit your profile, leave the Community (your profile and content are hidden until you return) or delete your community data for good. For a copy of your data or any other right in Section 8, use the contact details in Section 10.
We take reasonable measures to protect your personal information. However, no method of storage or transmission over the Internet is completely secure. You acknowledge and accept that you share data at your own risk.
Depending on your jurisdiction, you may have rights under applicable law, including GDPR (EU) or CCPA (California), such as the right to access, correct, delete, or restrict use of your personal data. You may exercise these rights by contacting us.
We may update this Privacy Policy from time to time. Any material changes will be posted on this page with a revised effective date. Continued use of the platform after updates constitutes acceptance of the new Privacy Policy.
